Secretary Position
Whitegate NS is looking for an enthusiastic, hard-working School Secretary who is competent and experienced in Office Administration. It is a part-time position for 17 hours per week – Monday – Friday. The successful candidate will have:
Essential Criteria:
• Administrative skills and general office experience.
• Excellent typing skills and proficiency in Microsoft applications (Word, Excel) and Google Drive.
• Excellent interpersonal skills, including oral and written communication skills.
• Excellent organizational skills, ensuring good record keeping and adherence to procedures and
policies.
• Administrative skills to support the management of school finances.
• Ability to plan and work on one’s own initiative with the ability to work in a team environment
with the Principal and other school staff.
• Flexible attitude and approach to work.
• A high level of Confidentiality and Discretion is expected.
• Knowledge of GDPR and Data Protection requirements.
Desirable Criteria:
Knowledge of school software systems including Aladdin, Esinet, OLCS and POD are desirable
but not essential as training will be provided.
Experience of basic financial systems to enable maintenance of school finance records, online
payment systems, payroll and revenue returns.
The Role of the school secretary is to contribute to the smooth running of the school through the
provision of high-quality administration and professional office service.
Key Duties and Responsibilities include but not limited to the following:
• Act as first point of contact for visitors to the school.
• Managing school communications: phone, email, Aladdin Connect (School Database Platform),
Department of Education Database, The Online Claims System (OLCS) and Primary Online
Database (POD).
• Managing school correspondence, postage etc.
• Coordination of internal communications (post, telephone messages, email etc.)
• Updating, managing and storing school records in compliance with GDPR.
• General school administration and office management.
• Assisting with the organization of school events and activities.
• Processing and maintaining garda vetting of staff.
• Liaison with representatives of service providers, suppliers, school users and visitors
• Maintaining records of staff leave
• Procurement of resources for the identified area of the school.
• Other duties as allocated by the Principal or Deputy Principal.
The appointment is subject to the following: Garda vetting, completion of MedMark medical
clearance, provision of referee contact details, and the successful candidate will be required to
undertake TUSLA child protection training.
This position is subject to a 6-month probationary period.

Caretaker Position
Whitegate National School are recruiting a part time Caretaker. The successful candidate will ideally have:
• A trade qualification or experience in carpentry and/or plumbing
• Experience in general maintenance and ground-keeping skills
• A good understanding of caretaking duties, to include health and safety legislation and security responsibilities
• Excellent DIY skills
• Good communication and organizational skills
• An ability to work independently and show initiative
• Understand the importance of confidentiality and compliance with School Child Protection Policy.
Some of the responsibilities (though not exhaustive) of the role include:
• General upkeep of school by ensuring that the school facilities and grounds are maintained to a high standard, so as to be a safe place for children all year round.
• Ensuring that furniture, equipment and fittings are maintained to a high standard.
• Cleaning duties as well as liaising and working closely with school cleaners.
• Upkeep and renewal of paintwork.
• Identifying tasks/duties to be carried out in consultation with the Principal/Board of Management
• Planning larger maintenance projects with the Principal and other professionals and assisting with their delivery.
• Opening and closing of the school/general security related duties including being a main keyholder.
• Health and safety responsibilities
The successful applicant will be required to work outside normal school hours to safely provide maintenance and to make facilities available. The successful candidate must be contactable by phone.
The appointment is subject to Garda Vetting and background checks and a certification of fitness to work from a GP.
